5* Hotel in London, part of an international Hotel Group are seeking a Rooms Co-ordinator and Personal Assistant to the Rooms Division Manager.
Reporting to the Director of Rooms (DOR), the Rooms Coordinator will be required to take a proactive approach to communication, organisation, projects, and administration tasks while liaising with operational departments, especially the Front of House, Maintenance, Housekeeping and Security departments
- Answer and screen incoming calls and correspondence for DOR and assist Rooms Division when necessary.
- Manage DOR’s calendar / meeting schedules and take meeting notes.
- Manage and track on weekly floor walks.
- Assist Front Office team with calls.Assist DOR with admin and day to day business support.
- Organise trainings as directed by DOR.
- Mange Health and Safety for team members
- Manage all guest correspondence including public signages and in-house letter distribution.
- Maintains a high level of communication and feedback within the Rooms Division (Front of House, security, Housekeeping and Engineering)
- Coordinates weekly operations meetings by preparing agenda, tracking on going items, recording notes, and distributing to departments.
- Creates necessary Purchase Orders when required by Rooms Division and filing them.
- Will be required to work as an additional Journey Ambassador during times of heavy check out, check in or during high volume events.
- Duties as directed from DOR.
- Manage all OTA review sites and respond directly.
